Job Description:

Join an amazing Real Estate Team where team work is at the front of all we do! As a Transaction Coordinator, you support a group of well-established Realtors with a high volume of transactions. A transaction coordinator, or TC, is someone who assists real estate agents by performing the administrative duties required during each stage of a transaction from contract to closing the sale of real properties. A TC for Steel City Realty will have the opportunity to work with a number of agents handling various types of transactions. The successful candidate will have knowledge of Real Estate transactions, excellent communication, and organizational skills as well as the ability to juggle multiple priorities and follow through on all aspects of documentation throughout the transaction.

  • Review the purchase agreement for completeness.
  • Open an escrow account.
  • Liaise between the seller, buyer, escrow, agents and various third parties.
  • Coordinate inspections, repair negotiations, and completion of repairs.
  • Ensure the deposit is in escrow on time and notifies the buyer that the deposit is subject to forfeiture if the buyer fails to perform.
  • Review the escrow instructions for errors.
  • Draft the Seller's Disclosure Packet.
  • Draft addendums.
  • Monitor deadlines during the contingency period and provide a demand notice to the buyer if timing isn't met.
  • Ensure the loan contingency removal is tracking on time.
  • Ensure the loan underwriter has the various certificates and clearances needed.
  • Obtain the contingency removal form by the contingency removal date, or serve the buyer a notice to perform.
  • Deal with the request for repair process or waivers.
  • Obtain other waivers where applicable.
  • Coordinate the final walk-through.
  • Document communications among the parties.
  • Audit the file prior to close of escrow to ensure all paperwork is complete.
  • Ensure tax withholding exemptions, such as Foreign Investment in Real Property Tax Act (FIRPTA), are complete.
  • Create a complete file for the client, typically in electronic format, which will help with IRS filings the following April.
  • Collect and organize all paperwork and communication related to the transaction.
  • Maintain complete files and contact information for all parties involved.
  • Coordinate the transaction from Under Agreement to Post Closing and ensure a five-star experience for all parties involved.
  • Follow up with clients after close to check in and ask for referrals.
  • Other administrative duties as assigned by the Real Estate Agents

      • Occasional visiting of properties, other offices and general delivery of documents
      • Could be exposed to weather due to travel and inspection of interior and exterior of dwellings

        • Prolonged periods sitting at a desk and working on a computer.
        • Occasional periods standing and walking, walking up and down stairs
        • Must be able to lift up to 15 pounds at times.
        • Able to travel as needed.

          Travel required

          • General local business travel may be required from time to time.

            Required education and experience
            Knowledge of Real Estate Transactions
            Three years or more of related experience required.
            Demonstrated ability to multitask, prioritize and manage documentation
            Excellent written and verbal communication skills
            Excellent organizational and time management skills.
            Microsoft Office or Google Workspace experience required
            Preferred education and experience
            Real Estate knowledge, licensure or coursework completed preferred
            Notary License a plus
