Responsibilities will include but are not limited to: ensuring a comprehensive patient scheduling system exists, assisting the dental director with coordinating of staff scheduling/vacation requests/sick call out, coordinate an accurate charge/billing process (ensuring claims in Dentrix are correct), oversee the van registration/billing process (includes the collection and data entry of all patient information into Dentrix) and ensuring program compliance with all regulatory standards. Fifty percent of this employee's time will be directly in the community, supervising the operation and coordinating the care for the patients being seen each day at the individual site. This individual will be responsible for the collection, recording and reporting of all patient data needed for both vans; daily visits, patients seen, sites serviced etc.
JOB DUTIES AND RESPONSIBILITIES:

  • Coordinates the scheduling of appointments, maximizing available appointments to meet the needs of the patients, maintaining a full schedule at all times for the dentist and the hygienist (daily checks the van schedule coordinating with the site to ensure that the schedule is full)
  • Work directly with the school nurses/site liaison to accurately schedule the patients
  • Will be responsible for collection of the dental medical updates from each site, coordinating the dental treatment list and ensuring proper and timely delivery of each list to the site
  • Conduct, at a minimum, monthly team meetings with all van personnel
  • Bi-weekly meet with each dentist on the van to review schedules, patient care and workflow; providing minute meetings to practice administrator/program director
  • Daily checks MA eligibility for the patients seen on the vans to ensure the program can bill accordingly
  • Assist un-insured patients in enrolling in Gateway and AmeriHealth Mercy (only MA managed care plans contracted with the network)if they desire
  • Work with the leadership to control costs; overtime, reduce non-salary expense and explore opportunities to create new revenue for both vans
  • Handle new employee orientation and on-site training for all new hires for the vans
  • Handle site inspections with administrative guidance, conduct quarterly fire drills for both vans
  • With the program director make sure all medication logs are updated and accurate on both vans
  • Communicate any staff scheduling problems to leadership handling all scheduling needs daily for both vans (vacation, sick time or special requests in a timely manner)
  • Answers patient/parent/school personnel questions/concerns about the vans procedures/policies
  • Handles patient complaints in a timely fashion, supplying administration with plan for resolution and process to assist the patient
  • Directs patient care or total wellness to the appropriate course of action
  • Ensure that all van staff attend yearly required trainings
  • Maintains a professional appearance of the vans ensuring equipment and furnishings are in good order
  • Handle administrative duties of the vans along with serving as the point person for all mechanical issues of the vans and the lead for all driver issues/trainingPHYSICAL AND SENSORY REQUIREMENTS:
    Sitting up to eight hours per day, up to six hours at a time, frequent use of the hands/fingers for data entry seeing as it relates to normal and peripheral vision. Hearing and speaking as it relates to normal conversation and telephone use.
    EDUCATION:
    High School graduate or equivalent required.
    TRAINING AND EXPERIENCE:
    Excellent customer service and interpersonal skills required (dental office setting). General computer experience with data entry skills required. Knowledge of dental terminology strongly preferred. Bilingual in Spanish and English.
